Job Description:

As a Personal Assistant, you will be providing administrative and secretarial support to the CEO by preparing correspondence, highly confidential documents, briefing notes and other material. You will be responsible for ensuring the smooth flow of all day-to-day activities in the CEO office by managing a high volume of meeting scheduling, arranging travel and coordinating activities between the CEO, business heads & other senior stakeholders.

Job Responsibilities:

  • Organizing travel and itineraries – Manage end to end process of visa applications (To get an invitation letter for visa applications, booking the appointments, online application filling, request for company NOC and letter for bank statement and arranging other required supporting documents).
  • Arranging flight & Hotel options based on the requirement & finalizing based on CEO’s input.
  • Updating annual Travel insurance.
  • CEO travel expense tracking.
  • Provide a bridge for smooth communication between the CEO and internal departments, to maintain credibility, trust and support with Senior Management staff.
  • Support senior management on ad hoc business-related task.
  • Provide proactive and efficient secretarial support to the CEO.
  • Managing and organizing CEO’s calendar, and scheduling appointments, meetings, and events.
  • Keeping track of the time spent by CEO in each meeting.
  • Follow up & coordination between internal departments on the task assigned by the CEO.

Job Requirements:

  • Very strong interpersonal skills and the ability to build relationships with stakeholders, including staff & external partners.
  • Expert level written and verbal communication skills.
  • Emotional maturity
  • Highly resourceful team-player, with the ability to also be extremely effective independently.
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands.
  • Demonstrated ability to achieve high performance goals and meet deadlines in a fast-paced environment.
  • Forward looking thinker, who actively seeks opportunities and proposes solutions.
  • Bachelor’s degree.
  • A minimum of 5 years of related experience or a combination of experience and education that enables performance of all aspects of the position.
  • Arabic Language proficiency.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point) and able to adapt new technologies.
  • Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.
